Challenges

A global pharmaceutical enterprise partnered with InspireXT to develop a centralised solution for lot management and document handling across multiple organisations. The goal was to replace manual workarounds and limitations of the Oracle SCM Cloud’s standard “Manage Lots” screen with a secure, role-based Oracle APEX application. 

Despite having Oracle SCM Cloud in place, the client faced significant limitations in executing core quality processes due to restricted access and disconnected systems: 

  • Limited Lot Management Access: The standard “Manage Lots” functionality in Oracle SCM Cloud was locked down due to project-level constraints, preventing eligible users from updating critical lot information. 
  • No Digital Document Handling: There was no streamlined way to generate, upload, store, and approve lot-related quality documents in a compliant and accessible manner. 
  • Lack of Role-Based Functional Separation: Users across quality, manufacturing, and compliance roles needed a system that allowed them to perform specific tasks without overlap or confusion. 
  • Cross-Organisation Complexity: The application needed to support users and data spanning multiple business units and geographies, all within a single, unified experience.

Solution

Oracle APEX-Powered Quality Management Application

To meet these requirements, InspireXT built a highly responsive, scalable Oracle APEX application fully integrated with Oracle SCM Cloud and Oracle Cloud Infrastructure (OCI) document storage. 

The application offered: 

  • Lot Status Updates: Enabled secure updates to Lot status by authorised users based on roles and organisations. 
  • Document Generation & Approval: Allowed users to upload, review, and approve/reject documents, supporting traceability and audit requirements. 
  • Role-Based Task Separation: Structured the interface to provide users access only to modules relevant to their role (e.g., document review, lot updates, reporting). 
  • Multi-Org Integration: Supported operations across multiple organisations within a single system, while maintaining data segregation and access control. 
  • Email Notifications: Automatically notified users of document approvals and lot status changes for faster action and traceability. 

Results

  • Enabled document upload in under 2 minutes, replacing a previously unavailable functionality and removing the need for manual tracking or email-based approvals. 
  • Reduced the effort required to update Lot status, bringing down clicks per action from 10–15 to just 4–7, improving overall process efficiency and speed. 
  • Accelerated user onboarding and training, cutting down training time from 2–3 days to just 1 day, thanks to an intuitive, role-based interface built with Oracle APEX. 
  • Dramatically improved user satisfaction, with internal quality and operations teams reporting a noticeable boost in usability, clarity, and responsiveness of the new system.
